Clean Up Your Database This Week

Most of you have been delaying this. So here are the 5 things you can do this week to clean up your Database.

1. Fill missing emails and information. Run a quick filter for contacts with no email. Pick three people you actually know and reach out right now by text or DM. Update the record the moment they reply and mark their preferred email. Text script: “Quick favor. I want to make sure you get the invite to the event we are having later this year. What is the best email for you, [First Name]?”

2. Tag your Past Clients and add a tag by move in year. Add a custom field or tag called “Move-In Year.” Open each past buyer’s record, use your closing statement or MLS history to grab the year, then save. Create two saved views: 5-year check-ins and 10-year check-ins. Call opener for a 5-year check-in: “Hey [First Name], I know things need fixing or improvement and I know you moved in around [Year], so I want to make sure you have our most current directory for service providers.”

3. Use your title partner to refresh property data. Email your title rep and ask for updated property profiles for your past buyers. Focus on APN, bed and bath count, square footage, lot size, last transfer date, and any recorded changes. Import or copy those details into your CRM so each record is accurate. Email to title: “Hi [Rep Name], could you send updated property profiles for these five addresses so I can refresh my client records? I am confirming square footage, bed and bath, lot size, and last transfer. Thank you.”

4. One follow-up task per A level contact. Decide who your A level contacts are. These are top referrers, VIPs, and clients you never want to miss. Create one simple task for each of them today, such as “Call [First Name] next Tuesday” or “Invite text at 10 am.” Keep the note short so you will actually do it. Call idea: “Hi [First Name]. I am putting together a quick fall home checklist and a value check. Do you want me to send the list and a fresh estimate to your email?”

5. Clean duplicates so you do not double call. Sort by phone or email to spot duplicates. If your CRM has a merge button, keep the record with the most recent activity and merge the rest. If not, copy any notes into the main record, archive the extra entries, then test the remaining phone and email once. Tip: Add a short “Source” note on the final record, like “Merged on 09-02 from duplicate. Best phone is --****.”
